When a Successful Office Outgrows Its Systems

We recently had the opportunity to work with a local payroll service company here in Sarasota, and this project is such a great example of something we see all the time: a business is doing really well, but the space hasn’t quite kept up.

David runs a successful company with a team that serves businesses all across our community. Like many growing offices, things had simply gotten busy—especially heading into tax season—and the systems that may have worked at one point were no longer supporting the day-to-day demands of the business.

The biggest challenge was the back storage area, which included two closets that had gradually become catch-all spaces. They were filled with promotional products, office supplies, and even holiday décor (this team celebrates everything, which we love). In addition to the closets, some of the surrounding areas had started to function as overflow space, making it harder for the team to find what they needed and keep things organized.

Nothing was necessarily “wrong,” but there wasn’t a clear system in place. As a result, things were more difficult to locate, harder to put away, and nearly impossible to maintain over time.

When we started the project, Jordan and Ann Marie began in the closets, and as we often do, the first step was to take everything out. Boxes were opened, excess packaging was removed, and items were grouped into categories. This process is always eye-opening because it allows the client to see not just what they have, but how much they have. Once everything was visible, we were able to rework the shelving and create zones so each category had a clearly defined home.

On the second day, we expanded beyond the closets and focused on improving the overall functionality of the space. This included organizing office supplies, reworking the printer room, and helping prepare a back room that will eventually be turned into a break room. We also assisted with relocating furniture based on the designer’s plan and created simple, functional systems within the cabinets in David’s office.

By the time we finished, the space looked different, but more importantly, it worked differently. The team can now find what they need quickly, put things away without overthinking it, and fully use the space they already have. One of the biggest changes was simply having room again—room to move, room to work, and room to grow.

This project wasn’t about minimizing everything or creating a picture-perfect space. They already had what they needed; they just needed it to function better. And now it does. It also provided a clean, organized foundation for their designer to step in and bring the next phase of the space to life.
